FreeFlow Interview AI Privacy Policy

This Privacy Policy explains how FreeFlow Job (“FreeFlow,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use the FreeFlow Interview AI Chrome extension, website, interview-assistance features, purchases, and reports (collectively, the “Service”).
1. Scope
This policy applies to FreeFlow Interview AI. Other FreeFlow Job services may have separate privacy notices. Third-party websites, interview platforms, PayPal, Chrome, and other services have their own privacy practices.
2. Information we collect
Account and authentication information
We may collect your email address, account identifier, authentication/session information, account status, and related security records when you create or use an account.
Candidate and job context
We collect information you choose to provide so the Service can personalize its guidance, including your résumé or résumé text, file name, target company, job title, job description, career field, additional candidate information, and interview story bank.
Interview audio and transcript data
When you actively start an interview or mock session and grant the required permissions, the Service may receive your microphone audio and the audio from the browser tab, window, or screen source you select. We may create and process transcripts, detected questions, generated answer guidance, likely follow-up prompts, session duration, interview history, and report content.
Screen-capture clarification
Chrome may display a tab, window, or screen picker because that is how the selected source audio is made available. The current Service processes the audio track from the source you select. It does not upload, store, or analyze the visual content of your screen. A short microphone test may be used to confirm that Chrome can hear you; that test audio is not saved.
Purchase and entitlement information
When you purchase interview minutes, we may receive the product selected, price, PayPal order or transaction identifier, payment status, purchase date, minute balance, and expiration date. PayPal processes your full payment credentials; FreeFlow does not receive or store your complete card or bank-account details.
Technical and local extension information
The extension may store settings and operational state in Chrome storage, including consent status, extension or consent version, sign-in state, setup progress, session state, and local copies of workspace or report information. Our servers may also receive limited technical logs needed for security, reliability, troubleshooting, and abuse prevention.
3. How we use information
· authenticate your account and keep your workspace synchronized;
· extract and organize résumé and job context;
· transcribe interview audio and identify interviewer questions;
· generate personalized answer suggestions, story-bank content, follow-up prompts, and interview reports;
· track trial and paid minute balances, purchases, expiration, and service access;
· operate, maintain, secure, troubleshoot, and improve the Service;
· respond to support, privacy, and account requests; and
· comply with legal obligations and enforce our Terms.
We do not sell your personal information and do not use your interview data for targeted advertising.
4. When processing occurs
Interview audio processing begins only after you take an affirmative action to start a session and complete the relevant setup and consent steps. You may pause, stop sharing, or end the session. Revoking Chrome permissions or uninstalling the extension stops future collection through that installation, but it does not automatically delete information already stored with your account.
5. Where information is processed
Information may be stored locally in Chrome and processed by FreeFlow systems and service providers that help us operate the Service. Current categories and providers include:
· Supabase, for authentication, database, and related account services;
· Railway, for backend application hosting;
· OpenAI, for AI and transcription-related processing used by the Service;
· PayPal, for payment processing; and
· Google Chrome and the Chrome Web Store, for browser functionality and distribution.
Providers process information only for the services they supply to FreeFlow or under their own terms when you interact with them directly. Provider names may change if we replace infrastructure; we will update this policy when a change materially affects how user data is handled.
6. How we share information
We may disclose information:
· to service providers described above, as needed to operate the Service;
· when you ask us to share or export information;
· to protect users, investigate abuse or security incidents, enforce agreements, or comply with law;
· in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards; or
· in aggregated or de-identified form that is not reasonably linked to you.
We do not allow service providers to use your personal data for their own targeted advertising.
7. Human access
FreeFlow does not routinely review private interview content. Authorized personnel may access limited information when reasonably necessary to resolve a support request you initiate, investigate abuse or a security incident, maintain the Service, or meet a legal obligation. Access is limited to personnel with a business need.
8. Legal bases
Depending on where you live, we process personal information to perform our contract with you, based on your consent, for legitimate interests such as security and service operation, and to comply with legal obligations. You may withdraw consent for future processing where consent is the legal basis, although this may prevent audio or AI features from working.
9. Retention
We retain account, workspace, transcript, report, purchase, and technical information for as long as reasonably necessary to provide the Service, maintain your account and minute balances, resolve disputes, prevent fraud, meet legal or financial-record obligations, and enforce our agreements. Retention can differ by data type. When information is no longer needed, we delete or de-identify it in accordance with our operational processes. Limited backup copies may remain temporarily until they are overwritten or securely deleted.
10. Your choices and rights
· You can choose what résumé, job, story, and additional context to provide;
· You can decline or revoke microphone and capture permissions in Chrome;
· You can pause or end an interview session and stop sharing the selected source;
· You can uninstall the extension to stop future extension-based collection on that browser;
· You may request access, correction, deletion, or a copy of personal information, subject to applicable law and necessary identity verification;
· You may object to or restrict certain processing where applicable law provides that right.
To exercise a privacy right or request account deletion, email contact@freeflowjob.com with the subject “FreeFlow Interview AI Privacy Request.” We may retain transaction or security records when required or permitted by law.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted network connections and access controls. No online service can guarantee absolute security. Protect your device and account credentials and contact us if you suspect unauthorized access.
12. International processing
FreeFlow and its service providers may process information in the United States and other countries. Where required, we use legally recognized safeguards for cross-border transfers. Privacy rights and protections may vary by location.
13. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided information, contact us so we can take appropriate action.
14. Chrome Web Store Limited Use
FreeFlow Interview AI’s use and transfer of information received from Google APIs and Chrome extension permissions will comply with the Chrome Web Store User Data Policy, including its Limited Use requirements. We use data obtained through extension permissions only to provide or improve the Service’s user-facing features and for permitted security, legal, and operational purposes.
15. Changes to this policy
We may update this policy to reflect changes to the Service, providers, law, or our practices. We will revise the “Last updated” date and provide additional notice when required. Material changes apply prospectively unless law permits otherwise.
